Managing online appointments may seem like a matter of convenience, but for a therapy practice, it's also a matter of tone. A potential client seeking help for the first time is often anxious. The way you structure that first step speaks volumes about how things will proceed.

The Three Main Players

Calendly is the best known, designed for business appointments. It excels in simplicity, links directly with Google and Outlook, and has a free version that often suffices for a sole practitioner. It's less suitable if you want an extensive intake form beforehand.

Acuity (from Squarespace) goes a step further: you can offer different session types, link intake questionnaires, and request upfront payments. This brings it closer to practice management software. The price is higher, and the interface looks more business-like than therapy-oriented.

Cal.com is open-source and the most privacy-friendly: you can host it in Europe and decide yourself where data is stored. For those who want strict GDPR control over client data, it's a serious alternative, though it requires a bit more setup.

When a Booking Tool is Appropriate

A booking tool is well-suited for scheduling follow-up sessions with existing clients. They already know you, know what they are booking, and don't want back-and-forth emails about availability. In this case, efficiency trumps personal contact.

When a Form is a Better Fit

For the very first contact with a new client, many somatically-oriented therapists deliberately choose a contact form with personal follow-up. The reason: a directly bookable calendar can feel as if you are as approachable as a hairdresser, and that does not align with the nature of the work. A short email from you suggesting three times already gives the registrant a first experience of how you communicate.

Practical Decision Aid

  • Only planning follow-up sessions: Calendly's free version is enough.
  • Different session types with intake questions: Acuity.
  • Strict GDPR control, European hosting important: Cal.com.
  • Only one to three new clients per month: contact form with a personal response.

Privacy Considerations

Calendly and Acuity are American services. For regular appointment data (name, email, time), this is usually workable if you mention it in your privacy policy and do not allow medical data to be entered via the booking tool. If you want to ask intake questions about complaints or diagnoses, do so after booking via a separate secure route, not as a required field in the tool.

What Good Integration Looks Like for the Visitor

The calmest option on your website: one button "schedule a consultation" on your contact page. Clicking opens the tool in a modal or new page, with a maximum of three briefly explained session types. No ten fields, no mandatory explanation of the complaint, no price list introduced for the first time there. The real story is already on your 'how we work' page.

Veelgestelde vragen

Do I need to request payment upfront via the booking tool?

For an introductory meeting, no. For regular sessions, it can reduce no-shows, but it also increases the barrier to booking in the first place. Many practices opt for invoicing afterward with a clear cancellation policy.

Can I seriously use Calendly's free version?

Yes, provided you don't need more than one appointment type. As soon as you want different session types with separate durations or intake questions, you'll need the paid version or Acuity.

Is a tool in English a problem?

Calendly's interface is available in Dutch; you can customize the confirmation emails yourself. Acuity is partially translated. For those who want everything in Dutch without extra effort: a simple contact form remains the most language-free option.

What about cancellations made within 24 hours?

State your cancellation policy on the confirmation page and in the confirmation email. Most practices apply a 24 or 48-hour period and a fixed fee or percentage. Important: communicate it in advance, not afterward.
